Document Management

Upload, attach, find and download the documents that belong to each shipment.

A freight file is a pile of paper: booking confirmation, commercial invoice, packing list, certificate of origin, House and Master B/L, arrival notice, delivery order, vendor invoices. Routel keeps that pile with the job it belongs to, so "where is the packing list for the Al Noor shipment?" has a one-click answer.

Where documents live

Every job has a Documents area. Two kinds of files appear there:

  • Uploaded by your team: anything from the customer, the carrier or a vendor.
  • Generated by Routel: the quotation PDF, the House B/L and annexure, customer invoices, credit and debit notes. These are attached automatically when they are produced.

Partner records have a documents area too, for company-level files such as agreements and registration documents.

Uploading

  1. Open the job and go to Documents

    Drag files in, or choose them. PDFs, images and office documents are accepted.

  2. Label the document

    Pick a type (booking confirmation, packing list, commercial invoice, and so on) so it is easy to find later. Add a note if useful.

  3. Save

    The upload is recorded in the job's audit log with your name and the time.

Finding and downloading

From the job, filter by type or search by name. Across jobs, the assistant is the fastest route: "Find the packing list for the Al Noor shipment" or "Send me the House B/L for JOB-2026-0412" returns the file directly, subject to your role.

Versions and corrections

Uploading a corrected document does not overwrite the old one. Both are kept, the newest is marked current, and the audit log shows who replaced what. For generated documents, regenerating produces a new version the same way.

Retention

Documents stay with the job after it is closed and remain downloadable for as long as the job exists. Nothing is purged automatically.

Who can do this

Anyone who can open a job can view and download its documents. Operations and Admin upload, label and replace them.
